Description

Under the general direction of the Chief Executive Officer, responsible for the efficient organization and cleanliness of office areas, answers incoming calls for the CEO and Director of Nursing and forwards information in an accurate and timely manner. Assist Department Managers with projects as needed.

Administrative duties include, but are not limited to:

1. Schedule appointments, set up meetings, keep daily calendars for Administrative Staff

2. Open, sort and distribute mail for Administrative Staff

3. Prepare, copy and distribute monthly physician on-call schedule.

4. Prepare, copy and distribute monthly education / committee calendar.

5. Process check requests and travel / expense reports for the Administrative Staff Make airline, hotel, meal arrangements for Administrative Staff

6. Arrange meeting space and needed preparations for manager retreats, corporate meetings, etc.

7. Prepare itineraries for incoming physician recruitment candidates.

8. Attend all bi-monthly medical committee, Medical Staff, Medical Executive Committee and Board of Trustees meetings and prepare minutes for such. Prepare meeting packets / agendas for all meetings.

9. Keep up-to-date files on all bimonthly meetings listed above including agendas, minutes and handouts.

10. Obtain signatures of appropriate administrative staff on all time sheets for CEO review / approval.

11. Maintain PDR scheduling for hospital personnel meetings / committees.

12. Prepare and distribute Board of Trustees packets prior to each meeting.

13. Type, copy and distribute general correspondence for administrative team.

14. Maintain correspondence files for Administrative Staff

15. Provide assistance to all administrative staff as needed.

16. Share in Medical Staff Coordinator responsibilities.

Qualifications

High school diploma or GED required.

Prior experience in a clerical role is required.

Must be proficient with computers, telephones, copier/fax and Microsoft Office products. Will be required to learn other software products.

Must have excellent communication skills.

Critical thinking and attention to detail is required.



Don't Be Fooled

The fraudster will send a check to the victim who has accepted a job. The check can be for multiple reasons such as signing bonus, supplies, etc. The victim will be instructed to deposit the check and use the money for any of these reasons and then instructed to send the remaining funds to the fraudster. The check will bounce and the victim is left responsible.
